THE PRACTICAL ANSWER
What should an Upwork proposal include?
Lead with the client’s specific problem, show relevant evidence you actually have, describe a short plan, and ask one question that affects the work. AI can help organize a draft, but your proposal should reflect your own experience, availability, and understanding of the job.
Draft a focused proposal ↗Read the job before writing the pitch
Identify the requested outcome, deliverables, tools, timeline, and any required application answers. Then look for what is missing: source material, access, the approval process, or a measurable definition of success. If the scope cannot fit the budget or your experience, passing is a useful business decision.
Upwork's proposal process can include platform-specific steps, and some posts use an interview flow instead of a conventional cover letter. Follow the live instructions for that opportunity. Keep communication and payment within the rules that apply to the platform and contract.
Open with the client's situation
A good opening makes a specific observation without pretending to have audited their business. “You need the onboarding sequence to help new users complete their first project. I’d start by separating people who have not set up from those who are ready for their next action.” That shows an approach, while leaving room to learn.
Avoid a long autobiography. Use one relevant example you can support. If you have no matching client example, say so and link a clearly labeled sample or explain a related skill. Do not let AI convert a hypothetical result into a claimed achievement.
Use a four-part structure
- Understanding: the outcome and a likely first step.
- Evidence: one relevant project, sample, or result you can substantiate.
- Plan: a short sequence with a clear first deliverable.
- Question: a decision that changes scope or approach.
You’re looking to [specific outcome]. I’d begin with [concrete first step] so we can confirm [important uncertainty]. Relevant experience: [a true, specific example or a clearly labeled sample]. My proposed first milestone is [deliverable], followed by [review/check]. To scope it accurately, I’d need [inputs]. One question: [a question that meaningfully changes the work].
Use AI as an editor
Ask AI to point out generic sentences, unsupported claims, or unanswered requirements. Tell it not to add experience, credentials, numbers, or commitments. Read the result aloud before sending. It should sound like something you can explain in a client conversation.
Track learning, not just volume
Log the type of opportunity, why you fit, time spent applying, application costs, response, and what happened next. A small set of relevant proposals gives better diagnostic information than a flood of interchangeable messages. If good-fit prospects reply but do not hire, review discovery and scope. If they never reply, test clearer evidence and a tighter opening.
